How to write a clear professional email

By the FreeAllTool team · Updated October 28, 2026

A good professional email gets a reply quickly because the reader knows immediately what it is about and what they need to do. Whether you are writing to a manager, a teacher or a company, the same simple structure works.

Start with a useful subject line

The subject line should say what the email is about in a few words. “Question” is vague. “Leave request for 12–14 March” or “Assignment 3 submission: Riya Shah, Class 12B” lets the reader understand and find the email later.

Use a polite greeting

“Dear Mr Patel” or “Hello Ms Sharma” suits most formal situations. “Hi Ankit” is fine for colleagues you know well. If you do not know the name, “Dear Sir or Madam” or “Hello team” works.

Put the main point first

Readers decide quickly whether an email needs action. State your purpose in the first sentence or two: “I am writing to request two days of leave next week for a family function.” Then add the details that support it.

Keep it short

Most routine emails can be under 150 words. Use short paragraphs of two or three sentences. If you have several questions, number them so the reader can answer each one.

Make the next step clear

End by saying exactly what you need and by when: “Could you confirm by Friday whether this works?” This avoids back-and-forth and makes it easy to reply.

Close politely

“Regards”, “Best regards” or “Thank you” followed by your full name is appropriate almost everywhere. For external emails, add your role, organisation and phone number below your name.

Check before sending

  • Is the recipient’s name spelled correctly?
  • Did you attach the file you mentioned?
  • Is the tone polite even if you are frustrated?
  • Would the email make sense to someone reading it for the first time?

Avoid writing whole sentences in capital letters, which can read as shouting, and avoid text-message abbreviations in formal emails. If you typed with Caps Lock on, our case converter can fix it instantly.
